9 Social Security Notices You Should Never Throw Away

How to Build an Unshakeable Filing System

Protecting your financial records requires a dual system that combines organized physical storage with secure digital backups. Establishing an intentional organizational habit prevents misplaced letters from jeopardizing your monthly income.

Set up a dedicated accordion binder or filing cabinet box dedicated exclusively to federal correspondence. Divide the binder using distinct tabs: Tax Statements (1099s), Benefit Calculations (Award Letters & COLA notices), Appeals & Dispute Files, and Medical History (for disability claimants). Place every piece of mail into its respective tab the day you open it.

Create a personal account on the official Social Security Administration website. The agency posts electronic copies of your annual statements, COLA adjustments, and benefit verification letters inside your personal portal. Download digital PDF versions of these files annually and back them up to an encrypted cloud service or external flash drive. Having both physical paper copies and electronic files ensures you can access proof of income even if physical documents are lost or damaged.
